November 20, 2025: Now Open: Call for Proposals for New Continuing Education Programs – Deadline Monday, December 15, 2025
Dear School of Medicine Faculty,
The UCSF Office of Continuing Medical Education (OCME) is now accepting proposals for new continuing education programs to be scheduled in our upcoming programming calendar. UCSF faculty are invited to submit innovative proposals for in-person, virtual, or hybrid courses that reflect the evolving needs of today’s healthcare workforce.
Due to high demand for OCME planning and administrative services, proposals will be reviewed through a competitive application process this year.
This is an exciting opportunity to reimagine the delivery of continuing education – integrating new learning modalities, fostering interprofessional collaboration, and creating meaningful engagement for learners across disciplines.
What We Are Looking For
Proposed programs should be:
- Innovative and learner-centered: Addressing current and emerging trends in medicine, science, and health care delivery.
- Interprofessional: Encouraging collaboration across clinical disciplines and professional roles.
- Financially viable: Featuring realistic budgets and sustainable program design
- Collaborative: Developed in partnership with OCME’s planning, marketing, registration, and accreditation teams
- Compliant: Aligned with Accreditation Council for Continuing Medical Education (ACCME) accreditation standards
- Planned in advance: Ideally submitted 12 months prior to the intended course date to ensure adequate time for contracting, planning, and execution
How to Submit Your Proposal

- Educational need or gap the activity will address
- Intended audience and anticipated learner outcomes
- Proposed format (in-person, virtual, or hybrid)

May 2, 2025: New Application Submission Deadlines
Dear CME Administrators,
This summer, the Office of CME will transition our CE Portal, registration, and online learning platforms to a single system hosted by CloudCME. This change aims to simplify our processes and reporting, providing you with a centralized system to manage your activities.
Transition Timeline:
- Soft Launch: First whole week of July, our office will be accommodating activities starting during the summer in the new Cloud platform
- Migration Period: Throughout June, our office will migrate currently approved CME activities to the new Cloud platform.
Application Freeze:
To ensure a smooth transition to the new platform, there will be a freeze on credit application submissions between June 13 and June 30th. We will prioritize reviewing and approving credit requests submitted by May 12, 2025, to transition activities to CloudCME for the upcoming academic year. Please note: Applications submitted between May 13 and June 13 will be accepted but may not be approved in time for the July platform transition, which may result in a potential delay of your activity setup in the new system.
OCME Recommendations:
If your CE activity start dates allow, submit your credit request in the new Cloud platform after July 1. Training for the soft launch is currently under development based on the following migration schedule:
Live Activities (Courses, Webinars, Seminars):
- For courses ending before December 31, 2025, that have already been submitted, have an approved credit request application, and have opened their course registration, you can continue managing them as usual.
- If you are not actively promoting or accepting registrations before June 13, we recommend waiting to manage your activity in the new platform after July 1, 2025.
- All courses with end dates after January 1, 2026, will migrate to CloudCME post-launch.
- As such, you will submit new credit requests for conferences ending after January 1, 2026, in the new Cloud platform.
- Please note: Live series approved for 12 months should follow the RSS schedule below.
Regularly Scheduled Series (Grand Rounds, Tumor Boards, Case Conferences):
- All activities for the 2026 academic year will migrate to CloudCME post-launch for consistent and uninterrupted activity and faculty management.
- Credit requests approved before June 13, 2025, will migrate automatically. Post-June 13 approvals need manual setup in CloudCME.
- Credit requests after May 12 must wait to be submitted in the new platform by your designated course administrator.
Enduring Materials (On-Demand, Online Courses):
- Submissions for renewing online courses will not be accepted after May 12 until the July go-live date.
- Online courses expiring before December 31, 2025, will remain in the current platform and transition to CloudCME later for record-keeping and reporting.
- Online courses expiring after January 1, 2026, will migrate between July 2025 and January 2026. Migration dates and cutoff for new enrollments in the current platform will be communicated.
Financial Disclosure:
Financial disclosure information will not transition to CloudCME. Faculty will need to re-disclose when assigned to courses or sessions. All faculty disclosures will take place in the new CloudCME platform. More information and training opportunities will be available soon.
Summary of Key Dates:
- May 12, 2025: Last day to submit credit request applications in CE Portal/HighMarks for automatic migration to CloudCME.
- June 13, 2025: CE credit application freeze begins; last date to submit credit requests in HighMarks until July.
- June 9 – June 30th, 2025: Migration of approved activities for the 2026 academic year to CloudCME.
- July 1, 2025: Early access to manage activities ending after February 1, 2026.
- December 31, 2025: Continue managing conferences as usual if they end before this date, if your credit request and course registration are already established. Please be prepared to submit and manage activities in CloudCME starting in July for those ending after this date, and/or if credit requests and registration are not already established.
- January 1, 2026: Submit and manage activities beginning after this date in CloudCME.
- February 1, 2026: Cutover date for ALL activities to be submitted and managed in CloudCME.
- March 1, 2026: Decommissioning of current platforms; retrieve all historical data by February 28, 2026.
Thank you for your cooperation during this transition. We look forward to enhancing our processes with CloudCME. Please keep an eye out for upcoming communication from our office regarding Cloud CME training and important next steps.
Best regards,
Tymothi M. Peters
